1) Assist Sales Managers on order management activities from order processing till delivery to customers, including logistics, import/ export customs clearance and claim processes
2) Process orders daily via SAP system. Be responsible for order documents i.e. order confirmation, invoice, delivery notices, shipping documents, customs clearance documents and customer claim resolution, …
3) Coordinate with customers, regional or head quarter’s LCS team/ supply chain team, shipping companies and/or freight forwarders to ensure smooth and accurate delivery and solve customer claims
4) Coordinate with finance team for invoicing and payment collection.
5) Ensure to align commercial terms and conditions according to the customer contract / purchase orders
6) Coordinate across departments including local/regional LCS Sales team, finance team and other IOS Service Coordinators to follow-up on details/ status of entire sales to delivery process and support each other where necessary.
7) Establish and maintain strong relationship with assigned customer accounts.
8) Support other LCS Sales Coordinators and IOS Service Coordinators in handling sales/ services quotations or contracts occasionally when required
9) Maintain item master data and business partner master data in SAP / SAP B1 systems
10) Sourcing for competitive suppliers and handling local procurement
11) Handling Purchasing Request, Request For Quotations (RFQ) and organize tender process together with department requesting the service, equipment and goods.
12) Clarify Specifications and alternatives suppliers, and also organize supplier audits.
13) Develop supplier selection criteria and identify suitable suppliers and also negotiate price with subcontractor
14) Follow up with QA when quality standards are not meet
15) Communicates status of critical orders to sales/service department in a timely manner and anticipate any delivery delay from suppliers, manage emergency activities
16) Work closely with finance team regarding the payment of supplier
17) Manage suppliers to ensure best-in-class pricing, delivery, and service, and identify cost saving opportunities
18) Develop, implement quality protocols and arrange quality checks
19) Contract management / contract setup including legal aspects for local procurement
20) Monitor contract compliance and related KPI’s
21) Take over any further task within Krones Vietnam service department requested by head of department
• Degree or diploma in business economics, supply chain logistics, data analytics, industrial engineering or similar
• Holistic and cross-functional thinking
• Profound knowledge of MS Office and ERP solution (SAP / SAP B1)
• Experience with CRM tools (e.g. Salesforce) and customs tools (eCUS)
• Self-confident and friendly manner
• Resilient and innovative personality with excellent communication skills
• Able to work under pressure with adequate time management
• Languages Vietnamese and English, additionally German preferred
• Several years experience in logistics / customs or procurement departments or technical sales handling from quotation till orders
• Basic technical understanding in the food/beverage industry or similar
• Strong negotiation skills
• Following international and strict internal compliance rules
