1. Reporting:
– Prepare daily, weekly, and monthly reports for management review (sales by channels, shipping expenses, cash report, stock movement, gross margin…)
– Analyze sales data to identify trends and provide insights for decision-making.
2. Sales Support:
– Assist the sales manager with administrative tasks including order payment reconciliation check, order shop supplies timely and correctly
– Maintain accurate records of all completed sales transactions
3. Stock Control:
– Ensure weekly stock counts are performed accurately.
– Check for variances in stock levels, verify discrepancies, and inform management in a timely manner.
– Report on short-dated stock items to minimize losses.
– Attend stock counts when required to ensure accuracy
4. Data Management:
– Update and maintain accurate data in the Sapo sales system (SKU, stock, pricing…)
– Ensure VAT invoice customer information is current and correctly entered into the system
5. Invoicing & Reconciliation:
– Manage invoicing processes to ensure timely and correctly billing to customers
– Reconcile invoices with the Misa accounting system to ensure accuracy in financial records.
6. Collaboration:
– Work closely with both the sales team and accounting department to streamline processes.
– Provide administrative support as needed to enhance overall efficiency.
– Bachelor’s degree in Business Administration, Accounting, Finance or related field.
– Proven experience in a sales administration or accounting role (2+ years preferred).
– Familiarity with Sapo sales system or similar CRM software is an advantage.
– Experience with Misa accounting software or similar financial systems is highly desirable.
– Strong analytical skills with attention to detail.
– Excellent organizational skills with the ability to manage multiple tasks simultaneously.
– Proficient in Microsoft Office Suite (Excel, Word, PowerPoint).
– Strong communication skills (both verbal and written) in Vietnamese; proficiency in English is a plus.
– High level of integrity and professionalism.
– Ability to work independently as well as part of a team.
– Strong communication skills (both verbal and written), basic English communication or above
